01 Introduction

Welcome to Queen City Pickleball (“we,” “us,” or “our”). We operate the Queen City Pickleball website (the “Site”), a community platform for pickleball enthusiasts to discover courts, find events, and connect with the local pickleball community.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our Site and use our services. Please read this policy carefully. If you disagree with its terms, please discontinue use of the Site.

02 Information We Collect

2.1 Information You Provide Directly

When you create an account or use our services, we may collect:

  • Name and display name
  • Email address (provided through your social login provider)
  • Pickleball skill rating (collected during account setup)
  • Court suggestions you submit, including court names, addresses, and descriptions
  • Events you submit, including event details, dates, and locations
  • Ratings and feedback you submit for courts
  • Photos you upload to the Site
  • Reports you submit regarding events

2.2 Information Collected Automatically

When you access the Site, we may automatically collect:

  • IP address and general location data

  • Pages viewed and time spent on the Site

2.3 Information from Third-Party Authentication Providers

We offer social login through Google, Facebook, and Microsoft. When you log in using these services, we receive limited profile information from those providers—typically including your name, email address, and profile picture—in accordance with the permissions you grant. We do not receive your social media passwords. Please review the privacy policies of these providers for details on how they handle your data.

03 How We Use Your Information

We use the information we collect to:

  • Create and manage your account
  • Display your submitted courts, events, and ratings on the Site
  • Review and moderate user-submitted content before it goes live
  • Send you email notifications about the status of your submissions (approved, rejected, or under review)
  • Display court locations and event venues using Google Maps integration
  • Improve and maintain the Site and our services
  • Detect and prevent fraud, abuse, or other harmful activity
  • Comply with applicable laws and regulations
  • Respond to your questions or customer support requests

04 How We Share Your Information

We do not sell your personal information. We may share your information in the following limited circumstances:

4.1 Publicly Visible Information

Certain information you submit is intended to be displayed publicly on the Site, including:

  • Your display name associated with court ratings and submitted events
  • Court suggestions that have been approved and made public
  • Events you have submitted that have been approved
  • Approved photos you have uploaded
Please be thoughtful about the information you choose to share publicly on the platform.

4.2 Service Providers

We may share your information with trusted third-party service providers who assist us in operating the Site, including:

  • Google (Maps API, authentication, and hosting services)
  • Facebook and Microsoft (authentication services)
  • Email delivery providers for notification services
  • Cloud hosting and infrastructure providers

These providers are contractually obligated to protect your information and may only use it to provide services on our behalf.

4.3 Legal Requirements

We may disclose your information if required to do so by law or in response to valid legal process, such as a subpoena, court order, or government request. We may also disclose information where we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others, or to investigate fraud.

4.4 Business Transfers

If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on the Site of any change in ownership or uses of your personal information.

05 Google Maps & Location Data

Our Site uses the Google Maps API to display court and event locations. By using map features on our Site, you are also subject to Google’s Privacy Policy, available at policies.google.com/privacy.

When you submit a court or event, we convert the address you provide into geographic coordinates (latitude and longitude) using Google’s Geocoding API. These coordinates are stored in our database solely for the purpose of displaying locations on the map.

We do not track your real-time location. Location data is only used as submitted by you in court and event forms.

06 Data Retention

We retain your personal information for as long as your account is active or as needed to provide you services. You may request deletion of your account and associated data at any time by contacting us (see Section 11).

Content you have contributed to the Site (such as approved court submissions or events) may be retained in anonymized or aggregated form even after your account is deleted, as it forms part of the community resource.

We may retain certain information as required by law or for legitimate business purposes, such as fraud prevention and dispute resolution.

07 Your Choices & Rights

7.1 Account Information

You may update your display name and pickleball rating at any time through your account settings. Your email address is managed through your social login provider and cannot be changed directly on our Site.

7.2 Communication Preferences

We send transactional email notifications related to your submissions (e.g., approval or rejection notices). These are necessary to the functioning of the service and cannot be fully opted out of while you maintain an active account.

7.3 Content Removal

You may request removal of content you have submitted, including court suggestions, events, ratings, and photos, by contacting us. Note that content that has already been approved and made public may take additional time to remove.

7.4 Account Deletion

You may request deletion of your account at any time. Upon deletion, your personal profile information will be removed. Community-contributed content (such as approved courts and events) may remain in an anonymized form.

08 Security

We implement reasonable administrative, technical, and physical safeguards to protect your information from unauthorized access, use, alteration, or disclosure. These measures include:

  • SQL injection prevention through parameterized database queries
  • Cross-site scripting (XSS) protection and input sanitization
  • Cross-site request forgery (CSRF) protection
  • File upload validation and malware scanning for photos
  • Rate limiting on content submissions
  • Secure OAuth token management for social logins

However, no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security.

09 Children’s Privacy

Our Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13, we will promptly delete such information. If you believe we have inadvertently collected information from a child under 13, please contact us immediately.

10 Third-Party Links

Our Site may contain links to third-party websites, including event registration pages and external resources. We are not responsible for the privacy practices of those websites. We encourage you to review the privacy policies of any third-party sites you visit through links on our Site.
